Terms of Service & Privacy Policy: Auckland X-Ray Services

By accessing the Auckland X-Ray Services website or utilizing our clinical imaging services, you agree to the following combined Terms and Conditions and Privacy Practices.
1. Clinical Services & Appointments
Referral Requirement: A valid referral from a registered NZ healthcare professional (e.g., GP, Specialist, or Physiotherapist) is required for diagnostic imaging. While we accept walk-ins for standard X-rays at our Dominion Road clinic, specialized scans (such as Ultrasound) require a prior appointment.
Cancellations: We require at least 24 hours' notice for cancellations. A non-attendance fee of $100 may be applied for missed appointments where no prior notice was provided.
Safety Protocols: Patients must complete all required safety questionnaires and disclose potential pregnancy, allergies, or metal implants during the booking and intake process.
2. Support Persons & Chaperones
In accordance with the Code of Health and Disability Services Consumers' Rights:
Right to Support: You are welcome to bring a support person (friend, family member, or partner) to your appointment.
Clinical Safety: For safety or technical reasons (such as radiation protection or sterile environments), your support person may be asked to wait in the reception area during the actual imaging procedure.
Chaperones: Auckland X-Ray Services can provide a staff chaperone for sensitive examinations upon request. Please notify us at the time of booking or upon arrival if you require a chaperone.
Children: For safety reasons, children brought to the clinic must be supervised by an adult at all times and are generally not permitted in the scan rooms.
3. Payment & Financial Terms
Immediate Payment: Fees for services are due in full on the day of your examination unless prior credit arrangements have been established.
Insurance & ACC: Auckland X-Ray Services is an affiliated provider for major health insurers. While we process ACC claims, a surcharge often applies and remains the patient's responsibility.
Debt Recovery: Accounts remaining unpaid after 90 days may be referred to a collection agency. All costs associated with debt recovery will be added to the outstanding balance.
4. Privacy & Data Management
We operate in strict accordance with the Privacy Act 2020 and the Health Information Privacy Code 2020.
Collection: We collect personal and health data directly from you and your referring clinician to provide accurate diagnostic reports.
Disclosure: Your results are shared with your referring clinician and other specialists involved in your care. We do not disclose your data to third parties for marketing purposes.
Storage & Security: Digital records are stored in secure, encrypted environments, which may include authorized third-party cloud providers (e.g., AWS). Hard copies are held in secure, audited facilities for a minimum of 10 years, as required by New Zealand law.
5. AXS Patient Portal
Users of the AXS Patient Portal agree to the following:
Security: You are responsible for maintaining the strict confidentiality of your login credentials and should not share access with unauthorized individuals.
Result Availability: Diagnostic images are typically viewable shortly after your scan. However, formal Radiologist reports may take 7–10 working days to be finalized and released to the portal.
No Emergency Use: The AXS Patient Portal is a diagnostic tool and is not intended for acute or emergency care. In an emergency, dial 111 or visit your nearest hospital emergency department.
6. Intellectual Property & Conduct
Website Content: All text, logos, and clinical imagery on our digital platforms are the property of Auckland X-Ray Services. Reproduction or distribution without written consent is prohibited.
Zero Tolerance: We are committed to a safe and respectful environment. Any verbal or physical abuse toward our staff will result in the immediate termination of services and potential trespass from our facilities.
7. Limitation of Liability
Auckland X-Ray Services provides diagnostic information to be interpreted by your treating physician. We are not liable for medical decisions or treatments prescribed by third parties based on our reports. Our total liability for any service-related claim is limited to the fee paid for that specific examination.
